Border Studios is committed to protecting the privacy, safety, and personal information of children, families, and early learning services. This policy explains how personal information and images are collected, stored, accessed, used, and protected in connection with our child care photography services.
2. Photography Consent
- Parents or legal guardians must provide specific consent for each photography session.
- Consent provided for a previous photography session cannot be relied upon for future sessions, regardless of whether the child, centre, or photographer remains the same.
- Children will only be photographed where valid consent has been received for that specific occasion.
3. Information Collected
Border Studios collects only the minimum information required to deliver photography services, which may include:
- Child’s first name
- Child care centre name
- Room or class name
- Parent or guardian contact details
- Order and purchase information
4. Access to Information & Centre Use of Images
Internal Access
- Child name, centre name, and room name are accessible only to authorised Border Studios staff for operational purposes.
- Parent or customer contact and order information is accessible only to authorised Border Studios management staff.
Centre Access
- Child care centres receive low-resolution, watermarked copies of each child’s individual photograph, along with staff photographs, for centre use.
- Images are provided via a private, secure gallery for download.
- Once downloaded, images are stored and managed by the centre in accordance with the centre’s own image storage and privacy policies.
- Child care centres do not have access to Border Studios’ internal systems, databases, or full-resolution image storage.
5. Digital Storage, Platforms & Security
- All images and customer information are stored on secure, encrypted, cloud-based platforms.

- Encryption at rest and in transit
- Individual user authentication
- Role-based access controls
- All access to stored files and information is logged, including user identity and time of access.
Third-Party Platforms
- Border Studios takes reasonable steps to ensure all platforms used meet security and privacy standards consistent with Australian privacy obligations.
6. Use of Images

Images are used only for the purposes outlined in the photography consent form, including:
- Order fulfilment
- Class photo creation
- Secure gallery delivery
- Images are never used for marketing or promotional purposes without express, written permission from a parent or legal guardian.
7. Biometric & Advanced Editing Practices
- Border Studios does not routinely use biometric identification or facial recognition technologies on images of children or staff.
- In rare cases where advanced editing is required to achieve a high-quality photographic outcome, limited facial analysis tools may be used.

- Are carried out only by Border Studios management-level staff
- Are used solely for image enhancement and not for identification, profiling, or automated decision-making
8. Image Retention & Deletion
- Images are stored indefinitely unless a deletion request is made.
- Parents or legal guardians may request deletion of their child’s images.
- Child care staff may request deletion of images in which they personally appear.

9. Identification & Gallery Security
- Children’s full names are not included on published prints.
- All galleries and downloadable files are individually password protected.
- Access details are provided only to authorised recipients.
10. Compliance
Border Studios complies with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
